Will travel be undertaken by one or more currently enrolled students? The rule only applies to travel undertaken by one or more undergraduate, graduate, or professional students who are currently enrolled.

Will the activity require traveling more than 25 miles from campus? Does the trip require traveling more than 25 miles from the campus where the student is enrolled to reach the activity or event?

Does the trip include international travel? If traveling abroad, registration must be completed through the Education Abroad Office rather than through this site and should be completed no later than six weeks prior to departure.

Is the trip to reach an activity or event being initiated, planned, and arranged by a university employee? An event or activity that is initiated, planned, and arranged by a university employee (in their role as an employee) is considered "organized by the university".

Is the trip to reach an official activity or event of a recognized student organization or any function of the organization that is open to its members or other participants? An event or activity that is planned by a recognized student organization as an official event/activity or as any other function that is open to its members or outside participants is considered "organized by a Recognized Student Organization".

Are students being sent on the trip to officially represent the university? An event or activity is considered "sponsored" if the university is being officially represented in activities such as course-related field trips, activities of sponsored student organizations, recreational sports trips, and meetings of academic organizations.

Will university or student organization funds be used? An event or activity is considered "sponsored" if funds are used support it.

Will students use a vehicle owned or leased by the university? Use of a vehicle owned or leased by the university indicates the trip is sponsored by or represents the university.
